GCFM Privacy Policy
This privacy policy sets out how GCFM uses and protects any information that you give GCFM when you use this website.
GCFM is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.
Personal information
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible, at info@mainegardenclubs.org . We will correct any information found to be incorrect.
What we collect
We may collect the following information:

· contact information including email address
· demographic information such as postcode, preferences and interests
· other information relevant to member surveys and/or offers
What we do with the information we gather
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
· Internal record keeping.
· We may use the information to improve our products and services.
· We may periodically send promotional emails about new products, special offers, meetings, registration forms or other information which we think you may find interesting using the email address which you have provided.
· From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail.
· We may use the information to customize the website according to your interests.
The GCFM Website is a computer generated communication for GCFM information, updated as necessary.
The GCFM Website shall be divided into two Sections: Public and Restricted. The password/s for the Restricted Section shall be given to members of the Board of Directors at the post-convention Board of Directors Meeting and/or from GCFM District Directors.
The Restricted Section shall contain the following material: minutes of the GCFM Conventions and Board of Directors Meetings submitted by the GCFM Recording Secretary; quarterly financial statements submitted by the GCFM Treasurer; Convention and Fall Conference Board Meeting information submitted by the President and Chairman; an updated GCFM Roster submitted by the Corresponding Secretary; and any other information the President shall deem necessary to be posted. Any information that is more than one year old shall be deleted from the section by the webmaster. . The exception will be The Gardener’s Voice, which shall have eight issues always posted – as the current issue goes up the oldest comes down.
The Public Section shall contain information of benefit to garden club members and others interested in GCFM or gardening. The material for this section shall be submitted by GCFM Chairmen and reviewed by the webmaster and the President.
Any information submitted for publication on the public GCFM website will be accepted with the understanding that all contact information will be available to the general public. Consent to use this contact information must be included on all forms posted for serving the GCFM membership at large or public interested in attending.
It shall be the policy of GCFM not to accept advertising links except those of approved partnerships. Links to horticulture, design and environmental organizations shall be accepted on a reciprocal basis.

The GCFM Newsletter, The Gardeners Voice, a quarterly posted document is available on the website. Should there be an interest in signing up for an electronic copy of the newsletter, you may sign up on the newsletter page of the website or email your request to webmaster@mainegardenclubs.org.
GCFM may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from April 2011.

Club and District Pages of Website
It is the responsibility of each club and district to assign a responsible party for providing updated information to the webmaster for posting. Materials should be submitted electronically in “camera ready” format (as you want it to appear including the font). Files, forms and other materials you wish to post for members to download must be in a separate file ready to post as is. Photos, clip art and other visuals should be submitted as separate files. Submissions should be emailed to webmaster@mainegardenclubs.org. The deadline for submission of updates, corrections, and deletions will be the 20th of each month. These submissions will be posted by the first of each following month.
